What should a commercial clearing bid packet include?

Last updated: November 5, 2026

Issue one current drawing showing the released phase, retention limits, access, staging and required handoff. Add who can clarify the scope and who authorizes a change. The purpose of the packet is to let competing bidders price the same finish and let the next trade recognize it.

Attach a short operating note

Document active entrances, delivery windows, adjacent uses and any restrictions supplied by the owner or reviewer. State whether a truck can load on the property and where it can turn. If a tenant must retain access, make the location visible on the drawing. A restriction mentioned only during one bidder's walkthrough can make the resulting prices difficult to compare.

Reconcile clearing with the wider development

A small first phase may be part of a larger construction plan. Give the responsible site professional the complete disturbance information and ask which approvals or stormwater responsibilities affect release. Keep permit decisions and contractor scope in the same packet but identify the party responsible for each. This avoids attributing an engineering or permitting service to a clearing item.

Give the handoff a physical end point

Name who will walk the released boundary and what they are checking. Include retained trees, larger wood, exported piles, access and any remaining stumps or disturbed ground. Record unresolved items against the drawing revision. That gives the receiving contractor a useful basis for the next phase and prevents a later design change being mistaken for unfinished clearing.

Run a paper walkthrough with the site manager

Start at the delivery entrance and move through the drawing in the order equipment and material would travel. Identify where a loaded vehicle can stand without blocking an active building, which phase can be crossed and where the first stockpile must leave space for utilities. Compare those assumptions with the construction schedule before issuing the packet. Two bids that assume different delivery access are difficult to reconcile later.

Write the change instruction while the boundary is clear

Name the person authorized to release additional area and the evidence needed to support a change. If a design revision shifts the line into retained growth, the record should show the revised drawing, expected treatment, disposition of additional material and effect on handoff. A small written change at the time of the decision is more useful than trying to reconstruct who pointed to which tree at the original walkthrough.

Questions property owners ask

What drawing revision should bidders use?

Issue the same dated revision to everyone and identify which phases are released for pricing.

Who should authorize extra clearing?

Name the authorized owner or project representative in the bid packet and record changes before limits move.

Does handoff include engineering acceptance?

Only assign technical acceptance to the appropriate responsible professional and define it separately from visible clearing completion.

How this changes a clearing estimate

An operator can be shown a different work line by a tenant, surveyor or subcontractor without any of those people having authority to change the contract. Give the site lead the name and contact method of the authorized representative. When a change affects limits or export, mark it on the current sheet and agree what happens to the original quantity.

Have the project manager compare the clearing quote against the exclusions in the following trade's bid. Work that both parties exclude becomes an owner's open item, even if the drawing looks comprehensive. Track a few examples explicitly, including final removal of staged root masses, treatment of voids and restoration of a temporary entrance. Assign each one before accepting the handoff.
